# Glanmor Festival Care Plan: Site and App Support | Halfspace

## Cover

### We look after it so July looks after itself

*Care plan for Glanmor Festival*

A monthly care plan for the Glanmor site and app, from early-bird tickets to the last set on Sunday night.

- Prepared by: Rhian Pryce, Halfspace
- Starts: 1 March 2027
- Recommended: Care Plus, 3,960 GBP a month

## Why a care plan

### Why a care plan, not another rebuild

*The brief*

Glanmor doubles to 30,000 people this July. The site and app you have are good. They were just never meant to be left alone for a year.

Your previous agency built them well and then moved on, so nobody owns the patches, the ticket integration or the night before the line-up drops. That is the gap we'd fill.

We'd rather spend your money keeping a good product sharp than rebuilding it. If a rebuild ever becomes the honest answer, we'll say so and price it separately.

## What it covers

### What the plan covers

Three things, looked after every month by the same four people.

Rhian leads design and the relationship. Gethin leads engineering. Nia and Joe split front end and QA, so someone who knows the code is always reachable.

### Site and app

Security patches, dependency updates and a Core Web Vitals check every Monday. The app stays on the current iOS and Android releases.

*Festival site on a laptop and phone*

### Tickets and cashless

The ticketing and cashless integrations monitored around every on-sale, with load tests before each release.

*Ticket wallet screen on a phone*

### Festival weekend

Two engineers on call from Thursday to Monday, with a shared channel to your control room and a twenty-minute response.

*Main stage at blue hour*

## What it produces

### Line-up drop page

### Set times and clash finder

### Accessible site map

## How a month runs

The same rhythm every month, so your team always knows where a request is. Festival month runs differently, and the calendar below shows how.

### 1. First Monday, planning call

Thirty minutes with Rhian to agree where the month's days go. Anything urgent mid-month displaces something, and we'd tell you what.

### 2. Weekly health check

Patches, uptime and Core Web Vitals every Monday. You get a short note, not a dashboard you have to read.

### 3. Requests through one board

One shared board for everything, so a request from marketing and one from the box office never collide.

### 4. Last Friday, month close

One page: what shipped, days used against the plan and what rolls forward. Unused days carry over once.

## The point

Thirty thousand people, one weekend, no second chance to load.

## The plans

### Three plans, one recommendation

Monthly fees in GBP, plus VAT, on a 12-month term from 1 March 2027. Built from a blended day rate of 580. We recommend Care Plus for a festival at your size; pick another and the total updates.

## The year

### The Glanmor year

Planned around your on-sales and the July weekend. Code freezes ten days before gates open, and nothing ships in that window except fixes.

| Task | Start | End | Duration | Label |
| --- | --- | --- | --- | --- |
| Onboarding and code audit | 2027-03-01 | 2027-03-12 | 5 days | Spring |

| Line-up drop, load test and release | 2027-04-19 | 2027-04-21 | 5 days | Spring |
| Set times and clash finder in the app | 2027-05-17 | 2027-06-18 | 5 days | Summer |
| Code freeze | 2027-07-12 | 2027-07-22 | 5 days | Summer |
| Festival weekend on call | 2027-07-22 | 2027-07-26 | 5 days | Summer |
| Post-festival report and backlog | 2027-08-02 | 2027-08-13 | 5 days | Autumn |

## Terms

### The small print, in plain words

What we'd want to know if we were in your seat.

### What happens to days we don't use

They carry over to the next month once, then lapse. Festival month usually eats the spare, which is why we suggest saving a few in May and June.

### What counts as out of scope

New products, a full redesign or a second app. We'd estimate those separately and in writing, and never quietly take them out of your monthly days.

### Out-of-hours cover outside festival weekend

Outages are covered around the clock with a one-hour response. Everything else is handled in working hours, Monday to Friday, 09:00 to 17:30.

### Third-party costs

Hosting is included. App store fees, ticketing platform fees and the cashless provider stay on your accounts, at your cost, with no margin from us.

### Notice and the twelve-month term

Twelve months from 1 March 2027, then rolling with 60 days' notice either way. You can move between plans at any month close.

## Clients

### From venues and festivals we look after

> Our on-sale used to fall over every January. Halfspace moved the queue page to the edge and we sold 18,000 tickets in nine minutes without a single error page.

— Carys Woodfine, Head of Ticketing, Tidefall Weekender

> Rhian sits in our planning meetings like she works here. When we wanted a new feature in June she told us it would be better in October, and she was right.

— Owain Prothero, Programme Director, Llanfor Arts Centre

> Gethin was on our control-room channel all weekend and fixed a cashless outage in fourteen minutes. Most of the crowd never knew it happened.

— Shona MacAskill, Operations Manager, Hollowmead Fields

## Approval

### Next step: the onboarding audit

Confirm by 19 February and we'll start the code audit on 1 March, seven weeks before the line-up drop. We'd need repository and hosting access by then.
