## Why a retainer

### Why a retainer, not a project

*Why a retainer*

Shoreditch opens in September. Marylebone keeps trading the whole time. Two fixed-fee projects would mean two handovers and nobody watching both houses.

You told us in January that members already compare the two, and that the new house has to feel like the same club without copying the first. That is a continuous job, not a scope.

So we're proposing a set number of days each month, one team and one specification both sites order from. Kit holds the account, Ada leads the design. If we've misread any of this, tell us before you read on.

## The idea

Same club, two addresses, one hand on every detail.

## What it covers

### What the retainer covers

Six areas of work drawn from one pool of days. Shoreditch takes the larger share until it opens, then the balance swings back to Marylebone.

### Shoreditch, to opening

Developed design, joinery details and the finish schedule for four floors, 31 bedrooms and the rooftop dining room.

### Marylebone, kept current

A rolling refresh of the bar and bedrooms. Reupholstery, lighting scenes and wear replacement planned a quarter ahead.

### One live specification

A shared specification platform both houses order from. Every finish, supplier and lead time visible to your ops team.

### Procurement and tracking

Orders placed in your name at trade price and tracked on a live FF&E dashboard from sample approval to delivery.

### 3D before anything ships

Photoreal visuals and a VR walkthrough of each new room, signed off before a single order goes in.

### Light and acoustics

Lighting scenes on the smart system and acoustic treatment for dining rooms that seat 70 covers on a Friday.

## Selected work

### Wexley House, King's Cross

*Members' lounge with green banquettes and fluted plaster*

### Brindle, Canary Wharf

*Restaurant with oak tables and a slatted timber ceiling*

### Fenmore Hotel, Hackney Wick

*Hotel bedroom with an oak headboard and green marble side table*

### The sample wall, Mare Street

*Material samples in green lacquer, plaster, brass and oak*

## How a month runs

The same rhythm every month, set around your operations meeting so decisions land where they're needed.

### 1. Planning call, first Tuesday

Kit and your head of houses agree where the month's days go across both sites. Anything urgent displaces something, and we'll say what.

### 2. Design in the open

Drawings, visuals and the specification sit on the shared platform. Your team comments there, not across four email threads.

### 3. Site walk, every Thursday

Kit walks Shoreditch weekly through the build and Marylebone fortnightly. Snags go on the list the same afternoon.

### 4. Order sign-off in three days

Nothing is ordered without your approval in the platform. Sign-off inside three working days keeps the lead times honest.

### 5. Month close, last Friday

One page: days used against the cap, orders placed, what rolls forward. Unused days carry over for one month only.

## Clients

### From clients we've held a retainer with

> They told us in week two that our bar stools had a 16 week lead time and the opening was 14 weeks away. We changed the design that afternoon and opened on the day.

— Harriet Osei-Lamb, Founder, Wexley House

> Our ops team can see every order on the dashboard without phoning anyone. That saved our general manager about a day a week in the two months before opening.

— Daniel Ferrante, General Manager, Fenmore Hotel Hackney Wick

> Ada walked us through the dining room in VR and we moved the banquette 400 mm. On site, that would have been a joinery remake.

— Saoirse Lennox, Director of Operations, Brindle

## Fee

### The monthly fee

In GBP, plus VAT. Built from our day rates: creative director 950, account lead 780, senior designer 720, designer 560, procurement 480. FF&E is not in this fee. Goods are invoiced to you at trade price with the full discount passed on.

## Terms

### Notice, scope and the hours outside them

The parts that decide whether a retainer stays a good deal for both sides.

### What happens when a month needs more than 26 days

We tell you before it happens, not on the invoice. Extra days are billed at the same day rates and only once you've approved them in the platform.

If an overrun repeats three months running, we'll propose resizing the retainer rather than billing extras.

### What the retainer does not cover

Base build and MEP design, which stay with your architect and contractor. Building control and landlord approvals. Artwork purchase and curation.

The FF&E itself. The Shoreditch budget is £1.42m to £1.56m plus a 10 percent contingency you hold, invoiced to you at trade price.

### Lead times and the September opening

Lead times set this programme, not drawing time. Bespoke upholstery runs 14 weeks, joinery 10, stone 7.

For install from Monday 16 August 2027 and opening on Wednesday 15 September, upholstery has to be signed off by Friday 7 May. Each week of late sign-off moves either the date or the specification, and we'll tell you which.

### Out-of-hours work

Marylebone trades until 1am, so installs there run between 7am and 11am, or on Mondays when the house is closed.

Evening and weekend site time is billed at 1.5 times the day rate, or drawn from the opening surge hours if you take them.

### Minimum term and notice

Twelve months minimum, then rolling with three months' notice from either side.

Orders already placed in your name stay yours. Deposits on cancelled orders follow each supplier's terms, which we show in the platform before you approve the order.

### Photographing the finished houses

We'd like to photograph both houses once open, on a closed morning you choose. Nothing is published without your sign-off, and no member appears in any picture.
